About the Role
We are seeking a dedicated Receptionist to serve as the first point of contact for our organization. This role is central to creating a welcoming environment and supporting our team with administrative tasks. You will leverage your hospitality expertise to enhance client interactions and ensure seamless operations at the front desk.
Key Responsibilities
– Greet and assist visitors and clients in a professional and friendly manner, ensuring an exceptional first impression.
– Manage incoming phone calls, emails, and inquiries, directing them to the appropriate departments as necessary.
– Maintain a tidy and organized reception area, ensuring it reflects the company’s professional image.
– Schedule appointments and manage calendars for team members, coordinating with various departments as required.
– Handle incoming and outgoing mail and deliveries, processing documentation and correspondence efficiently.
– Assist with administrative tasks such as data entry, filing, and maintaining office supplies inventory.
– Collaborate with other staff members to provide support for events, meetings, and other company activities.
– Uphold confidentiality and privacy standards when handling sensitive information.
Requirements
– Proven experience in a receptionist or front-desk role, preferably within a hospitality or corporate environment.
– Strong communication and interpersonal skills, with an emphasis on customer service and relationship building.
– Proficiency in MS Office Suite (Word, Excel, Outlook) and other standard office software.
– Excellent organizational skills, with the ability to manage multiple tasks and priorities effectively.
– A proactive approach to problem-solving and a strong attention to detail.
– Fluency in English; proficiency in additional South African languages is an advantage.
Preferred Qualifications
– Experience in a hospitality setting or customer-focused role.
– Familiarity with office management systems and procedures.
– Relevant certifications in hospitality, business administration, or customer service.
– Knowledge of basic accounting or invoicing practices.
