Job Advert Summary
The purpose of this position is to ensure the smooth operation of the front office and to provide essential administrative support across various departments. The Receptionist & Administrative Assistant is the first point of contact for visitors and callers, requiring excellent communication skills and professionalism. This role also includes maintaining accurate records related to diesel usage, vehicle movement, invoices, PODs, and GRV documentation. The incumbent will support the Admin Manager, especially during periods of leave, and assist with SYSPRO data capturing, courier logistics, and cash office duties. The role demands attention to detail, strong organisational skills, and the ability to multitask in a fast-paced logistics environment.
Minimum Requirements
Grade 12 (Matric)
Fluent in English & Afrikaans
Excellent telephone manner and communication skills
Proficient in Microsoft Excel and Word
Previous administrative experience will be advantageous.
Strong attention to detail and ability to work under pressure.
Must be reliable, organised and able to manage multiple tasks.
Duties and Responsibilities
Front Desk & Switchboard:
Answer and route all incoming calls promptly.
Meet, greet, and register visitors, arrange appointments, handle courier collections.
Diesel & Vehicle Registers:
Balance kilometres in the Vehicle Movement Register
Balance litres in the Diesel Register after each refuelling.
Upload daily figures to the shared company folder.
Invoice Management:
Match invoices to trip sheets.
Track outstanding invoices.
Verify GRNs and stamped PODs; liaise with stores for missing documents.
POD Management:
Capture GRN numbers in SYSPRO daily.
Maintain a 100%-accurate POD register.
Documentation:
Stand in for the Admin Manager during leave to process GRV (Goods Received Voucher) paperwork and liaise with drivers.
