Job Description
We are looking for a proactive and detail-oriented Export Sales Assistant to join our team. The successful candidate will support the Sales team in managing international customer accounts, processing export orders, coordinating logistics, and ensuring the smooth execution of overseas sales operations.
Key Responsibilities
Sales & Customer Support
Assist the Export Sales Manager in managing international client accounts.
Prepare quotations, proforma invoices, and sales contracts.
Respond to customer enquiries via email and telephone.
Build and maintain strong relationships with overseas distributors and customers.
Follow up on outstanding payments and customer accounts.
Order Processing & Documentation
Process export orders accurately using the company’s ERP system.
Prepare and review export documentation, including commercial invoices, packing lists, certificates of origin, and bills of lading.
Coordinate with freight forwarders, shipping lines, and customs brokers.
Ensure compliance with international trade regulations and company procedures.
Logistics Coordination
Track export shipments and provide customers with delivery updates.
Liaise with warehouse and production teams to ensure timely dispatch.
Resolve shipping and documentation issues as they arise.
Reporting & Administration
Maintain accurate sales records and customer databases.
Prepare monthly export sales reports.
Conduct market research and competitor analysis.
Assist with documentation for international trade fairs and exhibitions.
Minimum Requirements
Diploma or Degree in Business Administration, Sales, Retail, or a related field.
1–3 years’ experience in export sales or international trade (preferred).
Knowledge of export procedures and international shipping documentation.
Familiarity with Incoterms and customs regulations will be advantageous.
Proficient in Microsoft Office (Excel, Word, and Outlook).
Experience with ERP systems will be an added advantage.
