The Sales Support Administrator provides high-level administrative, reporting, CRM and operational support to the Core Sales team. The role enables the Head of Sales, Regional Sales Managers and Business Consultants to spend more time on customers, coaching and commercial execution by ensuring that sales information, customer records, reports, meetings, onboarding processes, follow-ups and operational actions are coordinated accurately and on time. This is a commercially focused support role rather than a general administration position.

1. Sales Team Administration & Coordination

- Provide day-to-day administrative and coordination support to the Head of Sales, Regional Sales Managers and Business Consultants.

- Maintain key sales trackers, action lists, calendars, team documentation and shared files.

- Prepare and coordinate sales documentation, customer information, contracts, forms and supporting records.

- Coordinate travel request documentation and other team administration in line with approval processes.

- Track outstanding actions and follow up with relevant team members and departments to ensure completion.

- Maintain organised, accurate and audit-ready sales records.

2. Sales Reporting & Dashboards

- Prepare accurate daily, weekly and monthly sales reports, dashboards and trackers.

- Consolidate regional and national information into clear reporting for the Head of Sales.

- Track sales performance and other agreed KPIs.

- Support monthly business reviews by preparing packs, data, commentary templates and supporting schedules.

- Identify missing, inconsistent or late information and follow up with relevant stakeholders.

- Maintain historical reporting files and ensure version control.

3. CRM & Data Administration

- Support the accuracy and integrity of customer and activity information in Skynamo and related systems.

- Monitor completion of key CRM

requirements

and produce compliance or exception reports where required.

- Assist with user administration, customer records, account changes and system-related follow-ups.

- Support Business Consultants and Regional Sales Managers with reporting and data queries.

- Maintain clean, current and usable customer master data.

4. New Account Onboarding & Customer Administration

- Coordinate new-customer onboarding documentation and ensure all required information is complete before submission.

- Track onboarding progress and follow up with Finance, Customer Service and other internal teams.

- Maintain new-business and new-account trackers.

- Coordinate customer documentation, pricing information, promotional information and sales support materials.

- Support customer follow-ups and internal issue resolution where administrative coordination is required.

5. Meetings, Events & Sales Activities

- Coordinate sales meetings, regional meetings, conferences, launches, activations and team events.

- Prepare agendas, meeting packs, presentations and supporting documents.

- Capture and distribute agreed actions and maintain follow-up trackers.

- Coordinate training schedules, attendance records and sales-event logistics.

- Support the distribution and tracking of branded items, campaign materials and other sales collateral.

6. Commercial & Operational Support

- Support the administration of promotions, campaigns, incentives and sales initiatives.

- Maintain regional action plans, opportunity trackers and agreed follow-up schedules.

- Provide administrative support for forecasting, customer budgets, stock allocations and commercial planning.

- Coordinate required information between Sales, Marketing, Education, Finance, Supply Chain, Customer Service and Operations.

- Support the Head of Sales and Regional Sales Managers in tracking commercial priorities and ensuring actions are closed.

7. Customer & Internal Query Coordination

- Act as a central coordination point for agreed sales-related administrative queries.

- Follow up on orders, customer issues, documentation and internal requests.

- Escalate unresolved matters to the appropriate Regional Sales Manager or Head of Sales.

- Ensure queries are acknowledged, tracked and resolved within agreed service levels.

8. Compliance, Process & Continuous Improvement

- Ensure sales administration complies with approved processes, documentation standards and record-keeping requirements.

- Maintain organised electronic filing and support audit or information requests.

- Identify recurring administrative bottlenecks and recommend practical process improvements.

- Standardise templates, trackers and ways of working where this improves efficiency and accuracy.

- Protect confidential customer, employee and commercial information.

9. Specific Recurring

Responsibilities

- Coordinate monthly sales information and ensure agreed reporting is submitted to relevant stakeholders by the required deadline.

- Coordinate Business Consultant travel request forms for Regional Sales Manager review and approval.

- Coordinate agreed Dtribe branded-item requests and related administration.

- Maintain the sales suspense/action report and follow up on outstanding items.

- Support any other recurring national sales administration agreed with the Head of Sales.

Key Performance Measures

- Accuracy and timeliness of sales reports, dashboards and trackers.

- CRM and customer-data accuracy.

- Completion of administration within agreed service levels.

- Turnaround time on queries, onboarding and follow-up actions.

- Quality of meeting, event and sales-team coordination.

- Stakeholder satisfaction and reliability of support.

- Reduction in outstanding actions and avoidable administrative errors.

- Process improvement and standardisation of sales administration.

Experience &

Qualifications

- Relevant administration, business, sales operations or related qualification preferred.

- At least 3-5 years’

experience
in sales administration, commercial support, customer operations or a similar coordination role.

Experience

supporting a multi-region or field sales team advantageous.

- Strong working knowledge of Microsoft Excel, PowerPoint and Word.

Experience

with CRM or field-sales systems such as Skynamo advantageous.

- Strong data handling, reporting and administrative capability.
